Frequently asked questions

Clear answers before you book a photographer and videographer in Gilbert

This photo and video FAQ answers the questions Gilbert, AZ families ask us before they hire us, in plain words. If you hire us, what you sign says the same thing you read here.

Booking and paying for your event

How much is the deposit to hold my date?

It's $500. It holds your date for you alone, it comes off the total, and it is not refunded. When we hold a date, we say no to other families who ask for it.

Can I pay in installments?

Yes. After the deposit, the rest is paid in installments and is paid off one month before the event. We remind you of any late payment well ahead of time, never on the day of the event.

Can I change the date of my event?

Yes, once, with 4 months' notice or more, and only if the new date is open. If those conditions aren't met, the change costs $500.

What happens if I cancel?

If you cancel with 4 months' notice or more, you lose only your $500 deposit. With less than 4 months, you lose everything you paid.

Do I sign the contract on paper?

There's no need. We send you the digital contract through ShutterTerms with your package, what it includes and the price of each add-on, and you sign it from your phone.

Planning before your event

When is the pre-event photo session, and who should come?

At least 2 weeks before the event. We plan the time around the light. If the person being photographed is under 18, an adult from the family has to come with them.

What do you need to know about our family?

A short list of who can't be missing from the group photos, the event itinerary one month ahead, and any surprise the family is planning. Changes are sent in writing.

Should we tell you about the surprises?

Yes. Keep the secret from the guests, not from the photo and video crew. A surprise entrance looks better when the cameras are already where they need to be.

Do I need a second photographer?

If two people get ready in different places, or if two quinceañeras celebrate together, one person can't be in both places. An additional photographer costs $500 for the first 4 hours, and an additional videographer $600.

On the day of your event

Until what time do you cover the event?

Until 10:00 pm. After that, each extra hour costs $150 and is paid before delivery. We tell you honestly whether it's worth it, because after 10 the key moments have usually passed.

Do you charge for travel?

Not within 50 driving miles of Tempe, Arizona (I-10 and US-60). Farther away, travel expenses are agreed in writing in an addendum, well before the date.

Are the coverage hours continuous?

Yes. Travel between locations, waiting time and weather delays count within the contracted hours.

Who pays for parking or entry fees at a venue?

The client. Parking, entry fees and similar venue charges are on you.

Can another photographer or videographer work at my event?

Guests can take photos with their phones. Another professional crew has to coordinate with us; if it blocks our shots, the coverage may end. For group photos we ask for a few seconds for our camera, and then everyone takes their own.

What happens if it rains or it's very hot?

The crew can wait for the weather to pass (it counts as hours) or leave an event that isn't safe. Have a covered plan B and water for the guests.

What happens if a camera fails or the photographer gets sick?

We bring backup gear to every event. We use two video cameras at every event we film, and we keep backups in three places: the editing station, the studio server and an external drive. If the gear fails, there is a partial or full refund. If someone on the crew gets sick, we send another person from the studio; if no one is available, we refund everything.

Do we have to feed you?

We appreciate it. Please count us in the number of guests for the meal; an event of 8 to 12 hours leaves no other time to eat.

After your event: photos and video

When will I get my photos and my video?

Usual delivery is counted from when you choose your photos: 2 to 4 weeks for photo only, and 4 to 8 weeks for photo and video. The contract sets the final timelines.

Who chooses the photos?

You do, online, within the 4 weeks after the event. If you don't choose in that time, the studio makes the selection and it is final.

How long do you keep my files?

One year. Download and back up your gallery within the first year.

Can I print my photos?

Yes, for personal use: the downloads include that permission. Commercial use is not included. When you hire us, we send you a 20% discount code for professional prints ordered online.

Where do I buy more prints?

Through your private online gallery, with the discount code.

What should I ask a photographer before hiring them?

Ask what the package includes in writing, when they deliver, what happens if they get sick and how long they keep your files. The full list, ready to print, is on the blog: questions to ask a photographer before hiring (opens in a new tab).
